For Dental offices businesses

New patients booked, and every patient back for their cleaning

Perbene answers the calls your front desk misses, books new patients into your calendar, sends the reminders, and writes to patients when they are due for their next cleaning, once you approve the message. In English and French.

Where work gets lost

The challenges Dental offices businesses face

The expensive moments are usually ordinary: a ringing phone, an unfinished follow-up, an emergency that reaches the wrong person.

01

The phone rings while the desk is with a patient

Your front desk is checking someone out, taking a payment or confirming tomorrow's schedule. A new patient calls, hears voicemail, and books with the next office on the map.

02

Patients who are overdue for a cleaning

A patient was due back six months after their last hygiene visit. Nobody had time to call, and a year later they still haven't booked.

03

Empty chairs after a late cancellation

A patient cancels the morning of the appointment. The hygienist's hour stays empty because nobody could rebook them or fill it in time.

A day with Perbene

How Dental offices businesses use Perbene

Handled / 01

A patient due for a cleaning

Six months after her last hygiene visit, a patient gets your message by text. She answers, and Perbene books her for Tuesday at 9.

Handled / 02

A new patient at lunch

A caller asks if you take new patients while the desk is at lunch. Perbene answers, explains the first visit and books Thursday at 2.

Handled / 03

A cancellation the same morning

A patient calls to say he can't make it. Perbene offers two other times, rebooks one, and the hygienist's hour is free again for the next caller.

Handled / 04

A Google review

A patient leaves five stars after a cleaning. Perbene thanks them in your voice. A two-star review comes to you first, with a suggested answer.

How it works

What happens when a patient is due for a cleaning

You set how often each visit type comes back, approve one message, and Perbene does the rest every day.

01

You say when each visit comes back

A hygiene visit every 26 weeks, a check-up every year: you set the interval on each appointment type. Your past visits come from your calendar, or from a CSV export of your practice software.

02

You approve the message once

Perbene drafts the recall message in your office's voice. You read it, change what you want and approve it. Nothing goes out before you do.

03

Patients who are due hear from you

Each day, the patients who are due get your message by text, or by email when there is no mobile number. Patients who already have an appointment, or who heard from you recently, are skipped.

04

Replies turn into bookings

When a patient answers, Perbene offers them real free times from your calendar and books the one they pick. You see every booking in History and on your calendar.

Why dental offices lose patients between two cleanings

Most dental patients don't leave because they were unhappy. They leave because nobody reminded them. The cleaning was due in the spring, the reminder card got lost, the office was too busy to call, and by the fall the patient has drifted to whichever office was closer to work.

Calling overdue patients is the job everyone means to do and nobody has time for. The front desk is answering the phone, checking patients in and dealing with insurance questions. The list of patients who are due grows every week.

Perbene works through that list for you. You set how often each visit type should come back, approve one message, and every day Perbene writes to the patients who are due. It skips anyone who already has an appointment, anyone who heard from you in the last 60 days, and anyone on your do-not-contact list.

New-patient calls, on the first ring

A new patient usually calls more than one office. The first one that answers and offers a time gets the booking. If your phone goes to voicemail at lunch or after 5, that patient is already booked somewhere else by the time you call back.

Perbene answers every call on your office's number, in your office's name. It answers questions about your services, hours, location and policies from what you wrote in your profile, asks whether it's a first visit, and books the patient into a real free time before they hang up.

Every call leaves a recording, a transcript and a short summary attached to the patient, so your team knows who called and what was promised. Perbene says at the start of the call that it is recorded.

Cancellations, reminders and your Google reviews

Every appointment gets a confirmation when it's booked and a reminder before it starts, by text or email. When a patient calls to cancel, Perbene offers to move them to another time right away, so the visit moves instead of disappearing, and the freed hour is open again for the next caller.

Patients who cancelled and never rebooked can get a message too. That rule is separate, and you turn it on and approve its message the same way as the recall.

Reviews matter as much as the phone for a dental office. Perbene answers your Google reviews in your voice: a thank you for the good ones, and the unhappy ones come to you first with a suggested reply.

Perbene never gives dental advice. It books, reminds and answers questions about your services, prices, hours and policies. Anything about a patient's treatment goes to your team.

Setting Perbene up for your office

Setup starts with your website. Perbene reads it and drafts your office's profile: your services, your dentists and hygienists, your hours, your prices and your policies on cancellations and new patients. You correct what's wrong in plain words.

Then you connect a calendar so Perbene can see your real free times, and choose the number patients call: the one you already have, forwarded, or a new one. For recalls, you set the interval on each visit type and, if your past visits live in your practice software, upload them as a CSV export.

You decide what Perbene does on its own. Answering, booking and reminders can run by themselves from the first day, while recall messages wait for your approval. Each morning, you get one page on what happened the day before: who called, who was booked, and what is waiting for you.

When something changes, a new hygienist, holiday hours or a new service, you change it in the profile and Perbene uses the new version on the next call.

Questions from dental offices

How does Perbene know which patients are due?

You set how often each appointment type comes back, for example a hygiene visit every 26 weeks. Perbene looks at each patient's last visit of that type, from your calendar or from a CSV export of your practice software, and writes to the ones who are due.

Does anything go out without our approval?

Recall messages don't. Perbene drafts the message, and nothing is sent until you approve it. Booking and reminders can run on their own, and you can change that at any time.

Can Perbene book into our calendar?

Perbene books into Google Calendar or Cal.com, reading your real free times before it offers any, or into its own calendar if you have none. If your practice software is something else, book a call and we'll look at how to connect it with you.

Does it give dental advice?

No. It books, reminds, and answers questions about your services, prices, hours and policies from what you wrote. Anything about a patient's treatment goes to your team.

Who doesn't get a recall message?

Patients who already have an appointment booked, patients who heard from you in the last 60 days, anyone on your do-not-contact list, and anyone without a visit in the last two years.

What does it cost a dental office?

$99 a month, plus $8 for each appointment Perbene books, and never more than $349 a month, in Canadian dollars. A recall that turns into a booked cleaning counts as one booking.

Do we keep our office's number?

Yes. Forward the number your patients already call, or connect your own phone account. You can also take a new number from Perbene.

Can patients speak French?

Yes. Perbene answers each patient in French or English, the language they speak, and switches if they do. Spanish works too.

How do we get started?

Start your 14-day free trial, no card needed to start. Perbene reads your website to draft your office's profile, you correct it, connect your calendar and choose your number. You can also try the demo first at perbene.ai/demo.
