How to Reduce No-Show Appointments: 7 Fixes That Work

Seven fixes clinics and salons use to reduce no-show appointments: confirm in writing, remind the day before, make it easy to move, and fill the gap.

It's 10:00 on a Tuesday. The room is ready, the towels are folded, and your 10:00 patient isn't coming. No call, no text. You find out at 10:15, when it's too late to fill the slot. If you want to know how to reduce no-show appointments, start here: most people who miss a booking didn't mean to. They forgot, or they couldn't reach you to cancel.

That's good news, because both of those can be fixed. Here are seven fixes that clinics, salons and other appointment businesses use, in the order we'd set them up.

1. Confirm every booking in writing, right away

A booking made over the phone is easy to forget. A text that arrives a minute later is not. It should say the day, the time, who they're seeing and where.

The text also gives the person something to find later. When they wonder "was it Thursday or Friday?", the answer is already on their phone.

2. Send a reminder the day before

One reminder, about a day ahead, catches most of the people who forgot. Send it at a time they'll read it, not at 3 a.m. For an early morning slot, the evening before works best.

Keep it short: the time, your name and one line on how to change it. A reminder that reads like a legal notice gets ignored.

3. Make it easy to cancel or move

This one surprises owners. Many no-shows are people who wanted to cancel but didn't want to call, sit on hold or explain themselves.

Let them reply to the reminder to move or cancel. A cancelled slot two days out is one you can still fill. A no-show is not.

4. Answer the phone when they call to change it

Some people will call. If that call goes to voicemail while you're with a client, they often give up and simply don't come. Every call that rings out is a booking at risk, in both directions: the new client who called the next clinic, and the regular who meant to reschedule.

5. Ask for a deposit on long or high-value bookings

For a 90-minute treatment or a colour appointment, a small deposit changes how people treat the booking. Tell them when they book, and refund it when they cancel early enough. Keep deposits for the bookings that would hurt most to lose; asking for one on every 15-minute visit can push people away.

6. Have a clear, kind policy, and say it once

Write a short cancellation policy: how much notice you need and what happens if someone doesn't come. Put it in the confirmation text, not in fine print.

Then apply it the same way for everyone. Most people respect a policy they were told about up front.

7. Reach out after a missed visit

Don't let a no-show become a lost client. Send a friendly message the same day: "We missed you today, want to pick a new time?" Many people are embarrassed and glad you made it easy to come back.

The same goes for clients who just drift away. A short note when they're due again brings back people who meant to rebook and never got to it.

How to reduce no-show appointments without more admin

None of these fixes is hard. The hard part is doing all of them, every day, while you're busy with the person in front of you.

This is the work Perbene does for clinics and salons. It answers your calls and texts, books into your calendar, sends the confirmation and the reminder, lets people move or cancel by replying, can take a deposit for the bookings you choose, and reaches out to clients who are due to come back.
